Fixfolder

Privacy policy

Effective date:

This policy covers fixfolder.com, purchases of the Payout Reconciliation Workbook, support email, and BTP uploader, the tool Fixfolder uses to upload videos to its own YouTube channel.

About Fixfolder

Fixfolder is the name of this website and of the Payout Reconciliation Workbook, a spreadsheet for Google Sheets and Excel 365. It is not a registered company. The workbook is sold through Polar, the merchant of record (see “Purchases”). In this policy, “Fixfolder” means the person who runs this website, the workbook and the YouTube channel Behind the Payout (@behindthepayout). For any question or complaint about this policy, email support@fixfolder.com.

This website

The site has no accounts or forms, sets no cookies of its own and uses no analytics, advertising or tracking scripts. It is hosted on Cloudflare, which processes the technical data every web request carries, such as your IP address, browser type and the page you asked for, to deliver pages and protect the site from abuse. Cloudflare also asks browsers to report failed attempts to load the site (Network Error Logging; supporting browsers keep this instruction for up to 7 days), may set a strictly necessary security cookie to check that a visit is not from a bot, and shows Fixfolder aggregated statistics such as the number of visits. See the Cloudflare Privacy Policy.

This site is not directed at children.

Purchases

The workbook is sold through Polar (polar.sh), the merchant of record, which runs the checkout, takes your payment, delivers your files, issues your receipt and handles sales tax. Your card details are collected by Polar and its payment processor, Stripe; Fixfolder does not collect or store them. Polar shares with Fixfolder your order details and what you enter at checkout, such as your name, email address, billing country and any tax ID. Fixfolder uses them to answer your questions, handle refunds and keep any records the law requires. See the Polar Privacy Policy.

Support email

Messages to support@fixfolder.com are forwarded by Cloudflare Email Routing to a private mailbox that Fixfolder uses for support. Your address and message are used only to answer you and handle your request, such as a refund. Please do not send guest contact details, bank account numbers or passwords.

The workbook

The workbook runs in your own copy of Google Sheets or Excel. It has no macros, scripts or connections to other services and sends no data anywhere. Fixfolder never sees your file unless you send it to Fixfolder.

YouTube API Services

Fixfolder uses YouTube API Services to upload and schedule videos on its own channel, Behind the Payout, with a small tool registered with Google as “BTP uploader”. The tool runs on Fixfolder's computer and signs in only with Fixfolder's own Google account. Fixfolder is its only user, and the tool does not access anyone else's YouTube or Google data.

It has two permissions, to upload videos (youtube.upload) and to view the channel's YouTube account (youtube.readonly), and uses them only to upload Fixfolder's videos as private videos, usually with a scheduled publish time, and to check the result. It does not edit or delete videos, and it does not read comments or data about viewers.

What the tool reads

  • The channel's ID, name and handle, to make sure it uploads to the right channel.
  • The titles of the channel's latest 50 uploads, so that it does not upload the same video twice. They are compared in memory and not saved.
  • The list of YouTube video categories, to check the category it uses.
  • The ID, status, basic details and processing details of each video it uploads.

What the tool stores

All of this stays on Fixfolder's computer:

  • The Google authorization token.
  • The channel's ID, name and handle as YouTube returns them, in the tool's settings and a token information file.
  • A note of the video category check.
  • An upload log with each video ID next to Fixfolder's own file name, file checksum and scheduled time.
  • An upload receipt for each upload, with the video ID and the status and processing details YouTube returned.
  • Copies: settings backups can repeat the channel details and the category note, and reports of dry runs and refused uploads can repeat a video ID or the channel ID.

The settings also hold the channel name and handle as Fixfolder typed them in, so that the tool can warn if it is connected to a different channel. These two values are not taken from YouTube.

Who else sees it

Fixfolder runs the tool with the help of an AI coding assistant, Claude Code by Anthropic. The assistant sees what the tool shows on screen and the files it works on, which can include the channel's ID, name and handle, video IDs and upload status, but never the authorization token. Anthropic processes this information under its own terms and privacy policy. Copies can also stay on Fixfolder's computer: in the assistant's session history, in the memory notes it keeps between sessions, and in Fixfolder's own working files, such as upload checklists, notes, test runs of the tool and backups, many of which the assistant writes. These copies can include the channel ID and video IDs. Apart from this assistant, the information is not shared with anyone, sold or used for advertising.

YouTube and Google terms

Anyone who uses BTP uploader agrees to be bound by the YouTube Terms of Service; today that is only Fixfolder. Google's own use of data is described in the Google Privacy Policy. Access can be revoked at any time on Google's security settings page: https://security.google.com/settings/security/permissions.

Google API Services User Data Policy

BTP uploader's use of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

Keeping and deleting data

  • Polar keeps order records under its own policy. Fixfolder keeps the order details it receives as long as they are needed for refunds, support and any records the law requires.
  • Support emails are kept while they are needed to help you. You can ask for them to be deleted at any time.
  • BTP uploader keeps the authorization token until access is revoked or Fixfolder stops using the tool. When the tool is authorized again, the old token is deleted at the next cleanup.
  • Video IDs, the YouTube details in upload receipts and the category note are deleted by the first cleanup after they are 21 days old, counted from when the tool received them from YouTube. The channel's ID, name and handle as YouTube returns them are refreshed at each upload and deleted if they have not been refreshed for 21 days. Copies in settings backups and in dry-run and refusal reports are deleted at the next cleanup. The channel name and handle that Fixfolder typed into the settings stay there.
  • The cleanup runs automatically every day on Fixfolder's computer, and also each time the tool uploads a video or is authorized again. If the computer is off when the daily cleanup is due, it runs as soon as the computer is next in use.
  • If access is revoked, or if deletion is requested, Fixfolder deletes all YouTube data the tool stores, including the token, within 7 days.
  • None of this affects videos or other data on YouTube; to delete those, use YouTube Studio.
  • Copies in Fixfolder's own working files (such as upload checklists, notes, test runs and backups) and copies held by the AI assistant (see “Who else sees it”) are not part of the tool. The tool's cleanup does not delete them; the assistant's copies are kept under Anthropic's terms and the assistant's own settings.
  • To ask what information Fixfolder holds about you, or to have it deleted, email support@fixfolder.com.

Where data is processed

Polar, Cloudflare and Stripe may process your data in other countries, including the United States, as described in their own privacy policies (Polar, Cloudflare, Stripe).
